At LIQUIDLOOP, our vision is to accelerate research & innovation in green energy and chemistry technologies.
Our mission is to create the next-generation hardware for chemical technology processes, starting with electrochemical conversion of CO2 to green hydrocarbons. We aim to create hardware technology that provides the necessary tools to revolutionize power-to-X and carbon capture technologies through quick analysis and testing.
We are currently focusing on developing a laboratory research instrument for electrochemistry, a field that will enable the energy transition and shift from use of fossil fuels to green, sustainable fuels and chemicals coming from renewable energy sources.
The LIQUIDLOOP team develops an all-encompassing hardware-software mass spectrometry analysis system, offering a real-time and precise chemical detection and identification of volatile liquid and gas products from a liquid, made possible by our patented “Product-to-Gas interface” technology.
Our history:
LIQUIDLOOP technology reveals a unique approach for real-time chemical monitoring due to many years of development. Founded in 2021, LIQUIDLOOP is the first exclusive liquid real-time detection company focusing entirely on the carbon-neutral fuels research. In 2022 LIQUIDLOOP set up production of its first devices and delivered them to academic customers. As of today, the LIQUIDLOOP product portfolio counts already with four commercialised product
Role Description
We are looking for an organized and proactive Office Manager to join our growing team at Liquidloop. This is a full-time role based in Berlin, where you will be responsible for overseeing daily administrative operations, coordinating finance and HR activities, and supporting our internal teams to ensure smooth company workflows. You will play a key role in maintaining efficient operations, supporting financial accuracy, and helping foster a professional and supportive work environment in the field of electrochemistry and analytical technology.
Responsibilities
- Manage daily office operations, logistics, and administrative tasks.
- Oversee bookkeeping, expense tracking, and coordinate with external accountants.
- Support HR processes, including onboarding, contracts, and employee records.
- Organize supplier contracts, purchases, and ensure proper documentation
- Prepare financial reports and assist in investor communication and compliance matters.
Must Have
- Solid experience in office administration, finance, or operations management
- Strong knowledge of German bookkeeping practices and tax regulations
- Familiarity with HR processes and employment law in Germany

Professional communication skills in English; German is a strong advantage
Nice to have
- Experience coordinating with external accountants (e.g., DATEV workflow)
- Skilled in Microsoft Excel, Word, and financial reporting tools
- Proficiency in Odoo ERP
- Strong analytical skills
Your responsibilities will include:
- Overseeing and optimizing daily office operations to ensure smooth internal workflows.
- Managing financial administration, including bookkeeping, payment scheduling, and coordination with external accountants (DATEV).
- Supporting HR processes by handling employee onboarding, contract management, and personnel documentation.
- Organizing supplier relations, procurement activities, and maintaining accurate supplier and contract records.
- Assisting management with financial reporting, internal performance tracking, and preparation of investor updates.
- Managing internal compliance tasks, office logistics, and document control to support operational excellence.
- Coordinating cross-team communication to ensure alignment between administrative, sales, and production activities.
- Preparing regular reports on operational efficiency, financial status, and administrative improvements.
Requirements:
- Experience working in hardware companies, technology firms, or R&D-driven environments, preferably within analytical instrumentation, laboratory devices, or manufacturing sectors.
- Strong background in office administration, finance, and HR support, with a solid understanding of operational workflows.
- Excellent organizational, coordination, and professional communication skills, both internally across departments and externally with vendors and service providers.
- A proactive, structured, and solution-oriented mindset, with the ability to manage multiple priorities and ensure smooth administrative processes.
- Business fluency in English; German proficiency (spoken and written) is highly preferred for communication with external partners and accounting firms.
- Comfortable working independently in a dynamic, multidisciplinary environment, supporting both technical and administrative teams.
